Site Access & Onboarding

This privately owned UK construction and services business operates across civil engineering, building, property development, logistics, and facilities management. Ranked among the Top 100 UK construction companies in 2018, the firm generated over £175 million in annual revenue and runs more than 20 large-scale construction projects at any given time—ranging from £300,000 to nearly £100 million in value.

The business implemented Quartex’s site access & onboarding solution to digitise and automate its contractor compliance program. Initially rolled out to 1,500 users, the solution has since scaled to over 6,000 contractors globally.

UOW selected Quartex Software as its contractor management solution. Quartex configured a branded portal tailored to UOW’s internal processes. Contractors can self-register, upload compliance documents, and complete online training before being approved for work.

To streamline site access, verified contractors receive a UOW-branded induction card with a unique QR code for on-site identification and check-in.

The Quartex team also supported UOW in managing internal expectations, ensuring clarity about system capabilities and building strong staff buy-in during rollout.

Leveraging their existing relationship with Quartex, MAEL expanded their use of Quartex’s site access & onboarding solution to digitise contractor compliance across their FDC network. The contractor management system (CMS) replaced manual processes and enabled real-time oversight of qualifications, WWCC records, licensing, and site-specific documentation.

With the site access & onboarding solution, MAEL was able to:

• Track and verify WWCCs for educators, household members, and regular visitors
• Capture key information such as pool fencing, vehicle registration, and property safety
• Enable instant access to documentation for audits or department investigations
• Apply flexible access permissions to protect privacy and meet policy requirements

A series of workshops were conducted to deeply understand the business, its direction, challenges and ultimate business goals. Once this was fully understood, a roll out plan was devised with regular progress meetings set with key stakeholders across the business.

Quartex’s site access & onboarding solution was then configured with the company branding for 9000 users, workflows and categories established. In parallel to this, onsite training modules were developed.

During implementation, a system training series was executed to site and system administrators and HSC managers, also for them to on-train individuals inhouse and to become familiar with the site access & onboarding solutions reporting functionality.

At this time, additional requirements and modifications were identified, and to address this, Quartex introduced new features to suit and enhance the user journey. Quartex provided high level communication, customer and helpdesk support to ensure all requirements were met and to alleviate any delays in launching the site access & onboarding solution.

Once the system had been user tested and was in regular daily use, custom induction elearning modules were added to the mix on the learning management system, Learning Portal. These modules were rolled out to contractors and staff with customised company branded induction cards and certificates. Later, the business adopted a self-authoring tool to develop further inhouse learning development.

A leading aged care facility provider in Australia faced a critical compliance challenge: ensuring every individual entering their facilities—staff, contractors, volunteers, and visitors—provided proof of a recent flu vaccination. This was in response to updated government legislation requiring full vaccination transparency across aged care sites as part of expanded COVID-19 protections.

Already using Quartex’s site access & onboarding solution to manage contractor compliance, the provider rapidly extended the platform’s capabilities to cover visitors and residential guests. Within days, the Quartex team developed custom workflows requiring flu vaccination data uploads from all visitors, in addition to contractors and volunteers.

The configuration was deployed across all sites, enabling staff to easily track and verify vaccination status. The process was intuitive, scalable, and backed by automated alerts and real-time reporting.

Implementing Quartex’s site access & onboarding solution involved close collaboration and hands-on account management to navigate CBH’s complex contractor landscape. The platform was configured to:

• Align contractor records to specific site requirements
• Support 9,000+ users across 150 geographically distributed sites

CBH was equipped with a centralised system and site-specific control. As their operations grew, so did their ability to adapt Quartex’s site access & onboarding solution to meet evolving needs.

Using Quartex’s Site Access & Onboarding Software, the hospital implemented a secure, centralised system to onboard and manage contractor compliance across their network. Contractors and workers register, complete their induction, and upload credentials through an easy-to-use portal.

All required information—including licences, insurances and pre-qualification data—is now managed digitally and automatically verified. Upon successful onboarding, approved contractors receive digital induction cards, and stakeholders receive real-time updates through the Quartex platform.

First Quantum implemented Quartex’s workforce training, compliance and competency solution to centralise training records, reduce costs, and improve operational efficiency.

The Sentinel Copper Project is a large-scale mining operation 100% owned by Kalumbila Minerals Limited (KML), a subsidiary of First Quantum Minerals. Located 150 km west of Solwezi, Zambia, Sentinel is part of the Trident project license area acquired by First Quantum in 2010. The mine entered commercial production in November 2016 and remains a key pillar of First Quantum’s copper portfolio

Given DIT Property has such a diverse and geographically distributed portfolio of sites, including in some of South Australia’s most remote regions, it presents unique challenges

With Quartex’s site access & onboarding solution delivering real-time data across all its sites, DIT Property is able to centrally manage its access requirements from its Adelaide Head Office, irrespective of where any of its sites are located.

The department needed a way to ensure they could deliver the most up to date safety and emergency information to contractors across all its sites and ensure they could capture records of each individual contractor reading and acknowledging the information.
